In order to configure Policy Patrol to add a signature with vCard on the first email, and then on subsequent emails a signature without a vCard, follow the next steps in the Policy Patrol Administration console:
- Create a Disclaimer template for the signature that will be added to your first email. It is advisable to include a disclaimer text with your first signature template so that this can be recognized as already being present in the email when the message is being replied to or forwarded.
- Create another Disclaimer template with the signature that will be added on any consecutive emails. The signature could be shorter (i.e. not including the full address) or the same. However this signature should not include the disclaimer text from the first template.
- Create the rule that adds the first signature with vCard as follows: Select users, message direction, and any conditions or exceptions. In Actions, click on Add disclaimer/signature. In the Add disclaimer/signature dialog select the first template you created, and select the option Avoid multiple disclaimers andPlace after most recent message text (recommended for signatures). Click OK. Then select the option Attach business card (vCard). Finish creating the rule.
- Create the second rule that adds the (shorter) signature without the vCard as follows: Select users, message direction, and any conditions or exceptions. In Actions, click Add disclaimer/signature and select the second template. Select Place after most recent message text (recommended for signatures) andOnly add when the following disclaimer/signature has already been added and select the first disclaimer template of the first rule. Click OK and finish creating the rule.
After enabling the above rules, each user will get a more extensive signature on their first email, including a disclaimer and a vCard attachment. Any subsequent messages will only include the shorter signature and no vCard. The vCard will automatically include the sender’s contact information.
